PERCS (PVT) LTD ("PERCS," "we," "us," or "our") is a software company based at Piliyandala, Colombo, Sri Lanka. We develop and operate learning management system (LMS) platforms, related websites, and mobile applications.

This Privacy Policy describes how we handle personal information when you use:

• Any mobile application for Android or iOS that we publish on app stores and that provides learning, training, or course delivery features (each, an "LMS App"), regardless of the app's display name or branding on the store listing; and
• Our websites and web-based LMS portals, including percs.lk and related pages (collectively, the "Services").

An LMS App may be branded for a school, university, employer, or other organization ("Organization"). Where your Organization provisions your account, your Organization may control certain learning records and may act as an independent controller of that data under its own policies. This policy explains PERCS's practices as the developer and operator of the platform.

2. Information We Collect

The data we collect depends on how you use the Services and which features your Organization enables. It may include the following categories.

2.1 Account and profile information

• Name, username, email address, phone number, and password or authentication credentials
• Role (for example, learner, instructor, administrator) and Organization affiliation
• Profile photo or avatar, if you choose to upload one
• Preferences and notification settings

2.2 Learning and usage information

• Course enrollments, progress, completions, grades, assessments, and certificates
• Assignments, submissions, discussion posts, messages, and feedback within the LMS
• Attendance, schedules, and activity logs related to learning features
• Support requests and communications with us or your Organization

2.3 Content you provide

• Files, images, audio, video, or documents you upload for courses or assessments
• Responses to quizzes, surveys, or forms within the LMS

2.4 Device and technical information

When you use an LMS App or our websites, we automatically collect information such as:

• Device type, operating system version, app version, and language settings
• IP address, general location derived from IP, and mobile network information
• Device identifiers used for app functionality, security, and analytics (for example, app instance or push notification tokens), where permitted by your device settings and applicable law
• Crash logs, diagnostic data, and performance metrics
• Actions within the app (for example, screens viewed and features used) to operate and improve the Services

2.5 Permissions-based data (when enabled)

Some LMS Apps may request access through your device only when you use a related feature, such as:

• Camera or microphone for video lessons, proctoring, or uploading media
• Photos, media, or files for assignments and offline content
• Notifications for course reminders and account alerts
• Biometric login, if offered by your device and enabled by you

You can revoke many permissions in your device settings; some features may not work without them.

2.6 Website and careers information

When you use our public website (not the LMS), we may also collect:

• Information you submit on contact forms, demo requests, or job applications
• Resume, cover letter, and professional background for recruitment
• Cookie and similar technology data as described in Section 9

3. How We Use Information

We use personal information to:

• Provide, maintain, and secure the LMS Apps and other Services
• Authenticate users and manage accounts and roles
• Deliver courses, assessments, certifications, and Organization-specific learning programs
• Send service-related notices (for example, password resets, course updates, and push notifications you allow)
• Respond to support requests and troubleshoot technical issues
• Monitor usage, prevent fraud and abuse, and enforce our terms
• Analyze and improve performance, reliability, and user experience
• Comply with legal obligations and respond to lawful requests
• Process job applications and website inquiries where applicable

We do not sell your personal information. We do not use personal information for third-party advertising unrelated to the Services unless we disclose that separately and obtain consent where required.

4. How We Share Information

We may share personal information in these situations:

• Your Organization: Administrators, instructors, and authorized staff of the Organization that provisioned your account may access learning data as needed to operate programs and comply with their policies.
• Service providers: Hosting, cloud infrastructure, email and push delivery, analytics, crash reporting, customer support tools, and payment processors (if payments are enabled), bound by contractual obligations to protect data and use it only to provide services to us.
• Legal and safety: When required by law, regulation, legal process, or to protect the rights, safety, and security of users, Organizations, or PERCS.
• Business transfers: In connection with a merger, acquisition, or sale of assets, subject to continued protection consistent with this policy.
• With your direction: When you choose to share content or connect integrations made available in the LMS.

Third-party SDKs or libraries embedded in an LMS App may process limited technical or usage data to provide analytics, crash reporting, authentication, or messaging. We require providers to handle data in line with applicable law and our agreements. The Data safety section of each LMS App on Google Play reflects the categories collected by that app's build configuration; this policy describes our overall practices.

5. Data Security

We implement technical and organizational measures designed to protect personal information, including encryption of data in transit (such as HTTPS/TLS), access controls, and monitoring. No method of transmission or storage is completely secure. You are responsible for keeping your login credentials confidential.

6. Data Retention and Deletion

We retain personal information only as long as necessary for the purposes described in this policy, unless a longer period is required or permitted by law.

• Active accounts: Learning and account data are retained while your account is active and as needed to provide the Services to you and your Organization.
• After account closure: When an account is deleted, we delete or anonymize personal information within a reasonable period, except where we must retain data for backup integrity (for a limited time), dispute resolution, security, fraud prevention, or legal, regulatory, or academic record-keeping requirements (including requirements imposed on your Organization).
• Logs and analytics: Diagnostic and aggregated analytics data may be retained for a shorter or longer period depending on the system, then deleted or aggregated.

Specific retention periods may vary by Organization contract or local law. Your Organization may retain learning records under its own policies even after PERCS processes a deletion request.

7. Your Choices and Rights

Depending on your location and applicable law, you may have the right to:

• Access and receive a copy of personal information we hold about you
• Request correction of inaccurate information
• Request deletion of personal information, subject to exceptions described above
• Object to or restrict certain processing
• Withdraw consent where processing is based on consent
• Lodge a complaint with a supervisory authority

To exercise these rights, contact info@percs.lk. If your account is managed by an Organization, you may also need to contact your Organization administrator for access or changes to learning records they control.

8. Account Deletion

If an LMS App allows you to create or sign in to an account, you can request deletion of your app account and associated personal data held by PERCS as follows:

• In the app: Use account or profile settings where a "Delete account" or equivalent option is provided, or contact support through in-app help if available.
• On the web: Email info@percs.lk from the email address linked to your account with the subject "Account deletion request," the name of the LMS App as shown on your device or app store, and your Organization name (if applicable). We may verify your identity before processing the request.
• Organization-managed accounts: If your Organization created or manages your account, you may need to request deletion through your Organization. PERCS will cooperate with the Organization and applicable law when processing deletion.

Deleting an account is not the same as disabling access temporarily. When deletion is completed, we delete associated personal data as described in Section 6, except data we are legally required or permitted to retain.

9. Cookies and Similar Technologies

Our websites use cookies and similar technologies to remember preferences, measure traffic, and improve content. You can control cookies through your browser or consent tools where shown. LMS Apps may use local storage on your device for login sessions, offline content, and performance; they do not use browser cookies in the same way as websites.

Where we use analytics on web or mobile, we collect usage information as described in Section 2. You can limit certain analytics through device settings where available.

10. Children's Privacy

LMS Apps are often used by students under the direction of schools or other Organizations. Those Organizations are responsible for determining whether use is appropriate for their learners and for obtaining any required consents.

We do not knowingly collect personal information from children under 13 (or the minimum age in your country) outside of an Organization-supervised educational context without appropriate authorization. If you believe we have collected information from a child improperly, contact info@percs.lk.

11. International Transfers

We may process and store information in Sri Lanka and other countries where we or our service providers operate. We use appropriate safeguards for cross-border transfers as required by applicable law.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may also be communicated through the Services or by email where appropriate. Continued use of the Services after changes take effect constitutes acceptance of the updated policy where permitted by law.
